  1、郵件開首句型

  郵件稱呼:

  普通工作郵件,直接稱呼名字字就好了,比如Hi Steven,不需要用Mr., 甚至寫給總裁的郵件,也是直接說Hi Bill,不需要Hi President Johnson。否則真的真的太令人不自在了。

  學術場合才需要加抬頭,比如Prof. Johnson. 政客的Congressman Johnson.

  一般不加Dear哦,只有公司HR群發(fā)郵件才說Dear all, 發(fā)給個人的,一般就Hi Steven或者直接說Steven,

  郵件問好:

  周一/二可用:

  ■ I hope that your week is off to a great start.

  ■ Hope you had a great weekend.

  萬能的:

  ■ Hope you’re well/Hope you are doing well.

  ■ I hope this message finds you well.

  美國人的開頭總是hope來hope去的,除了希望還特別愛謝謝人。。。

  別人發(fā)郵件提供信息給你,中文郵件是懶得回的,英文郵件也習慣感謝,簡單回復一個。

  ■ Thank you.

  ■ Well noted.

  ■ Noted/Received with thanks.

  ■ Good information.

  2、郵件內(nèi)容句型——必備句式

  請別人幫忙

  ■ At your convenience, would you please send me.....

  最後加上Thank you for your assistance.

  尋求意見

  ■ Our team would appreciate your insights/input on.....

  ■ Due to the short time frame for this proposal, prompt reply is greatly appreciated.

  取消會議

  ■ I want to be mindful of your time and we don’t have any updates at this point; therore I suggest that we cancel/reschedule today's meeting. If you disagree or need assistance, please let us know.

  道歉

  如果是回郵件回得晚了,先道歉,(以下sorry也可以替換成apologize,更正式一點,發(fā)給重要的人或者群發(fā))

  ■ Sorry for the late reply.

  ■ Sorry I haven’t got back to you sooner .

  ■ Sorry for the delay getting back to you.

  如果是臨時通知別人是什么事情

  Apologies for the late/short notice.

  如果是上一封郵件沒寫清楚導致收件人誤解了

  I apologize if this was not made clear

  提前給別人預警如果自己的措辭過于強硬

  I apologize if this may make you feel uncomfortable/bad.

  I apologize if this may sound a little harsh.

  3、收尾套路

  最后收尾的套路,一般都是問別人意下如何。(不要用please tell me ...這種句式,從來沒見過老外用的)

  ■ Please let me know what you think.

  ■ Please let me know your thoughts.

  ■ Let me know if you have any questions or concerns.

  ■ Please let me know if there are questions.

  ■ Looking forward to your input/insight

  ■ That’s my idea, what's your idea?

  4、文件在附件中哦?

  附件怎么說?

  附件的英文是attachment.但是如果你說please find the attachment實在是惡俗至極。

  一般直接用動詞attached, enclosed.

  ■ Attached/Enclosed please find the report.

  ■ I attached the report and let me know what you think.

  文件怎么說?

  excel, pdf, word 如果你說file也是惡俗至極,正確的說法是document.(excel可以說spreadsheet, ppt可以說presentation)

  ■ Attached please find the document.

  5、真實案例

  過去幾天我一直在做老板 A 布置的任務,可有一天早上,老板 B 發(fā)郵件布置了新任務。我想,郵件里跟老板 B 肯定解釋不清,而且顯得我能力不足。反正我手頭上的事最多再有半天就做完了,那時候我再回復老板 B 吧。

  結果不巧,剩下那些 A 布置的活比我預期的要難,我花了一天才做完。

  晚上,剛準備留下做老板 B 的活,就收到他的郵件,問我做的怎么樣了。我急忙打電話向他解釋了情況。他說,那你應該早點告訴我,我這個今晚就要。早知道你在做別的事,我就安排其他人了。

  所以拯救英文郵件最重要的是——要融入英語語境的環(huán)境中

  如果你給人做事:

  ■ Will do.

  ■ On it now!

  ■ Will send over a draft by the end of the day.

  ■ I'm having trouble accessing XYZ's site. Might have to get back to you tomorrow. Is that okay?

  ■ (更客氣一點)I have a lab report and a problem set due on the same day. Could I have an extension till Wednesday?

  ■ I'm not feeling well today and will take the afternoon off. Please do let me know if you need me tomorrow.

  如果你負責項目

  ■ Received with thanks.

  ■ How's your XYZ (research paper, draft analysis, lab report) going?

  ■ Wanted to clarify something with you. Could you call after 3?

  ■ The second half needs a bit more work. Check this report we published last quarter, and send me what you have this pm.

  ■ Shoot me an email when you are free.

  上面的句子很多沒有主語,乍一看也不禮貌,更沒有“親愛的某某”,“祝好”這類客氣話。但公司、學校的內(nèi)部溝通,很多時候要的就是這種簡潔的進度更新。永遠不要因為怕打擾或者怕郵件里說不清就不發(fā)郵件,永遠不要假定你的老板、老師、同事、下屬知道你在干什么,遇到問題要積極溝通而不是埋頭干活,比沒能按時完成任務更糟糕的是沒有提前知會老板。
